01.Agreement to Terms
These Terms of Service ("Terms") govern the access to and use of websites, booking systems, concierge services, and mobile reservations provided by Black Car Concierge USA LLC ("BCC", "we", "us", or "our"), a limited liability company organized under the laws of the State of Wyoming.
By requesting a quote, making a reservation, or utilizing our chauffeured transportation coordination platform, you agree to be bound by these Terms and our Privacy Policy.
02. Affiliate Network & Transportation Fulfillment
Important Notice on Service Fulfillment: Black Car Concierge USA LLC operates as an executive ground transportation coordinator, reservation platform, and private concierge service.
Transportation services arranged through our network are fulfilled either directly or through vetted, commercially licensed, fully insured, and state/federally authorized independent affiliate limousine operators, motor carriers, and professional chauffeurs.
All affiliate operators within the BCC network are required to maintain valid commercial livery insurance, comply with all federal DOT/FMCSA and local municipality licensing requirements, adhere to professional dress codes (dark suit and tie), and meet our strict vehicle age, maintenance, and safety criteria. BCC acts as your dedicated central billing and single point of customer service contact throughout your itinerary.
03.Fleet Categories & Vehicle Substitution
Fleet representations displayed on our website (including Cadillac Escalade ESV, Lincoln Navigator L, Chevrolet Suburban, Mercedes-Benz S-Class, Executive Sprinters, and luxury mini-coaches) indicate the standard and category of vehicle booked.
Specific vehicle makes and models are subject to regional availability and scheduled maintenance. In the rare event that a specific vehicle model is unavailable, BCC will provide an equivalent or upgraded vehicle within the same or higher luxury category at no additional charge to the client.
04.Quotes, Pricing Snapshots & Confirmations
Online quote calculations and initial quote requests are based on published base rates, distance, vehicle tier, and required hourly minimums. An online quote does not constitute a guaranteed reservation until review and formal confirmation by our dispatch team.
Once a reservation is formally confirmed, BCC records a pricing snapshot. Your confirmed base rate is locked and will not fluctuate due to subsequent market rate adjustments. Additional charges may apply solely for extra passenger-requested stops, route diversions, parking fees, bridge/tunnel tolls, or extended waiting time outside of complimentary allowances.
05.Airport Transfers & Complimentary Wait Time
For airport pickups, clients must provide accurate commercial flight numbers or private FBO tail numbers. Our dispatch center synchronizes with live FAA radar telemetry.
- Domestic Flights: Includes 30 minutes of complimentary wait time from actual flight touchdown.
- International Flights: Includes 60 minutes of complimentary wait time from actual touchdown to accommodate customs and baggage clearance.
- FBO Private Aviation: Chauffeur is positioned on-ramp or terminal side 15 minutes prior to wheels down.
- Non-Airport Pickups (Hotel / Residence / Office): 15 minutes complimentary grace period.
Waiting time exceeding these complimentary windows is billed in 15-minute increments at the vehicle tier's standard hourly rate.
06. Cancellation, Modifications & No-Show Policy
Sedans & Luxury SUVs
Free cancellation up to 24 hours prior to pickup time. Cancellations inside 24 hours incur the minimum run charge.
Executive Sprinters
Free cancellation up to 48 hours prior to pickup time.
Mini-Coaches & Motor Coaches
Free cancellation up to 7 days prior to pickup time.
Weather cancellations due to airline flight groundings will be credited or rescheduled with proof of flight cancellation without forfeiture of deposits.
07.Passenger Conduct & Damage
Smoking, vaping, and use of illegal substances are strictly prohibited inside all fleet vehicles at all times. A minimum sanitation cleaning fee of $350 applies for any smoking violation or physical interior soiling requiring commercial detailing.
Clients and passengers are responsible for any intentional or negligent physical damage to vehicles caused during charter service.
